Privacy Policy
How RuleFoundry handles account information, contact inquiries, Extraction content, analytics, and service data.

RuleFoundry (“RuleFoundry”, “we”, “us”, or “our”) operates rulefoundry.com and the RuleFoundry customer application. This policy explains how we collect, use, and protect information when you visit the website, contact us, create an account, sign in, or use the product.
Information We Collect
We collect information you provide directly, such as your name, email address, company, role, contact-form details, account details, and messages you send to us.
If you create an account or sign in with Google, we receive the basic account information needed to authenticate you, such as your email address, name, and profile image if Google provides it. We do not request access to your Gmail inbox, Google Drive files, or other private Google content for normal login.
When you use the product, we collect the Extraction scopes, topics, prompts, notes, uploaded or entered workflow information, generated outputs, review activity, and related product data you choose to create or submit.
During a Voice Extraction, we process the interviewee's microphone audio to run the conversation and may retain a limited clean sample temporarily to create that interviewee's Logic Twin voice. A ready voice may be associated with the interviewee's authenticated account and reused for later Extractions requested from the same account without collecting a second clone sample. We exclude extractor playback from the voice sample and do not provide sample-file locations to other users.
We also collect technical and usage data, such as log data, device and browser information, pages visited, product events, IP address, error reports, and security-related metadata.
How We Use Information
We use information to provide, secure, maintain, and improve RuleFoundry; authenticate users; create and manage Extraction workspaces; generate and display outputs; respond to inquiries; troubleshoot issues; prevent abuse; and comply with legal obligations.
We may use aggregated or de-identified information to understand usage patterns and improve product quality. We do not sell your personal information.
AI Processing
RuleFoundry uses AI systems and related service providers to help run Extraction workflows and produce structured outputs. Content you submit to an Extraction may be processed by those systems to provide the product. Do not submit confidential, regulated, or sensitive third-party information unless you are authorized to do so and your organization has approved that use.
Completed Logic Twin conversations answer from the finished Extraction artifacts. Each viewer's conversation history is private to that viewer and is not shared with other people who can access the same completed Extraction. Voice questions may be transcribed, answered by an AI model, and synthesized using the interviewee's Logic Twin voice.
RuleFoundry does not use customer workflow data to train models. We may use aggregated or de-identified service information to understand product quality, but we do not use identifiable or de-identified Extraction content for model training.
Connected Assistants and Plugins
You may choose to connect RuleFoundry to an assistant provider, such as OpenAI, Anthropic, or GitHub/Microsoft. After you sign in, review the requested OAuth access, and authorize the connection, RuleFoundry may provide that assistant with the workspace and Extraction metadata, status, RuleFoundry app links, and completed artifact content needed to answer your request.
Marketplace connections use limited OAuth scopes and remain subject to your RuleFoundry permissions. They can find Extractions you own or are assigned to access and read completed artifacts. At your direction, a connection may also create an Extraction using the topic, description, and participant you confirm. The participant may be you or another person identified by email. For another person, RuleFoundry automatically sends the same invitation email as the app; email is not a separate plugin action. Creating the request does not begin the Extraction or consume begun-Extraction usage. For an unfinished Extraction, the connection provides status and a link back to RuleFoundry rather than unfinished artifact content. The connection cannot begin, conduct, resume, complete, modify, resend, or delete an Extraction or artifact; Extraction sessions still happen in the RuleFoundry app.
We process connection records such as requested scopes, consent, client and token metadata, revocation events, and related security logs to operate and protect the connection. When content is returned to an assistant, that provider processes it under its own terms, privacy policy, retention settings, and account controls. Disconnecting or revoking RuleFoundry access stops future reads but may not delete content already retained in an assistant conversation or downstream work.
Service Providers
We use third-party providers for hosting, authentication, database, email delivery, analytics, observability, AI processing, and related operations. These providers may process information on our behalf only as needed to provide their services to us.
Current or planned providers include services such as Supabase, Google, Resend, Cloudflare, Render, ElevenLabs, analytics tools, AI model providers, and connected assistant providers you authorize.
Cookies and Analytics
The website may use cookies and similar technologies for analytics, performance, and security. We use analytics tools such as Google Analytics and Microsoft Clarity to understand how people use the site and improve the experience. You can control cookies through your browser settings.
Retention and Deletion
We retain information for as long as needed to provide the product, maintain records, resolve disputes, enforce agreements, and meet legal obligations. Account and Extraction data may be retained until deleted by you, your organization, or us according to the applicable product workflow or agreement.
Source segments used for an Instant Voice Clone are scheduled for deletion within seven days after successful provisioning. A separately retained professional-quality dataset, if enabled, is kept for no more than 30 days after the Extraction completes unless professional provisioning has started. The interviewee may revoke the reusable Logic Twin voice; revocation disables it for linked Extractions and removes the provider voice and retained source segments from active use.
You may contact us to request access, correction, export, or deletion of personal information, subject to legal, security, and operational limits.
Security
We use reasonable administrative, technical, and organizational safeguards designed to protect information. No online service is completely secure, and you are responsible for keeping your account credentials and devices secure.
Children
RuleFoundry is intended for business users and is not directed to children under 13. We do not knowingly collect personal information from children under 13.
Changes
We may update this policy from time to time. The effective date above shows when it was last updated.
